How to Identify and Fix Common printer Problems ?

Our sources include academic articles, blog posts, and personal essays from experienced technical support :

If the LED light is blinking red, the Print Cartridge is low on Toner (Dry Ink); it is recommended to order a new Print Cartridge at this time. If the LED light is a solid red, the machine will no longer print until a new Print Cartridge is installed.
If the lights red, the printer is experiencing an error, such as jammed paper, no paper, the open top or front cover, or the empty toner cartridge. See “Troubleshooting Error Messages” on page 5.17. If you press the button while the printer is receiving data, the LED blinks red to cancel printing.
Verify the Print Quality setting in the print driver. In the print driver, on the Printing Options tab, if the Print Quality is set to Toner Saver, change the setting to Standard. Change the Image setting to a darker setting. If the problem persists, contact Supoprt for additional assistance.
A blue or green light indicates the printer is operating correctly, while a red light indicates an error has occurred.

Remove any ejected paper from the front or back of the printer. Open the paper tray cover. Remove any loose photo paper from the paper tray, and then check for and remove any bent, wrinkled, or torn paper.

Toner has nearly run out. Documents and reports do not print out. The paper output tray is full. Remove prints from the tray.
Most copiers last between three to five years, under average circumstances. This figure is often surprising to business owners, who expect copiers to last for much longer. If your copier is giving you trouble, consider when you purchased the machine.
One of the most common reasons why your thermal POS printer might be printing too light of an image is an accumulation of dirt, dust, or other contaminants inside your printer. Without regular cleaning and maintenance, dirt can clog up your printer and print head, causing them to wear out sooner.
Make sure the printer is plugged in and that both power switches are in the on position. Make sure the printer is plugged directly into the wall outlet using the power cord that came with the printer. Important: Do not plug the printer into an Uninterruptable Power Supply (UPS), power bar or extension cord.
I quickly found a solution to this problem by going to printing preferences and making sure the PRINT IN GRAYSCALE option was deselected or turned OFF.
Print blemishes after inserting a new cartridge. Slow print times. Abnormal noises. Paper jams and ripped paper.
It`s used for printer diagnostics. If it`s solid ON and in red that`s not good. The smiley face led (a little above) is solid ON green that`s good. If the printer works you are fine ( smiley LED face is ON), if the printer doesn`t work solid red heartbeat is for defective formatter board or memory.
Blinking Red LED —- Indicates [Near end], [Ink end] or [Expiration], ink expiration date is approaching.
Reset. Resetting the printer stops printing and clears the current print job received from the active interface. You may want to reset the printer when there is a problem with the print job itself and the printer cannot print successfully.
A software reset and powering the printer off and then on will perform many of the same tasks; however, the main differences are as follows: A software reset clears the temporary files from the System and the Network Controller.
Image by Brusspup. Press the tiny reset button located beside the chip and hold for 10 seconds. Depending on the brand and model of the cartridge, you may not need to hold the button for 10 seconds, but it won`t harm the cartridge so do it anyway just to be safe.
Printers with a large fuser can print between 300,000 and 500,000 pages before needing to be replaced.
Fuser Units

The coating wears off and causes the toner to not fuse properly. There are replacement rollers and sleeves on the market that you can replace and turn a non-functional fuser into a good working one. Rebuilding fuser assemblies is not a new thing.

As print quality goes down over time, this will be a reason to replace the color printer. We find a black and white printer can sometimes last 10 years or more and most color laser printers are replaced every 3 to 5 years.
Based on verified reviews from real users in the Managed Print Services in the Distributed Workplace market. HP has a rating of 4.4 stars with 172 reviews. Xerox has a rating of 4.6 stars with 128 reviews.
The average lifespan of a printer is around 3-5 years. With proper upkeep and maintenance, some printers can last longer, but eventually your machine will need an upgrade.
Thermal printer printheads last about 10 years on average.
Thermal printers briefly heat either the surface of special paper or a colored ribbon that marks the paper, but they don`t require warm-up time. None of these technologies need off-duty power to maintain proper function.
Still not working? Your thermal printer probably needs a good cleaning. We recommend using Thermal Printer Cleaning Cards with every paper roll change to remove residue and other contaminants from thermal print heads, paper guides and paper paths, helping to prevent paper jams and misprints.
